Project Director

Location: Hybrid working, with three days in the office in Shoreditch, London

You’re a highly experienced producer, who has a proven track record of leading large scale, high value projects as Project Lead or Executive Producer.

You’re responsible for overseeing the day to day management and output of project teams, and own the successful delivery of amazing events for high profile brands - always maintaining our high standards and building strong, collaborative relationships with our clients whilst delivering exceptional customer service. 

A safe pair of hands, expert in their field, you’re an incredible problem solver with bags of relevant experience to draw on and cool under pressure.  You’ll work closely with the Head of Projects, advising on updates and able to escalate where required - you can switch between being in the detail of the projects and also capturing high level summary for the Head of Projects, Client Services and senior management team.  You’ll also be a mentor and inspiration to more junior members of the team, sharing your experience and showing them how it’s done! 

Project Delivery

  • Lead and be fully aware of all project profitability.
  • Manage event management system budget and PO authorisations.
  • Support with initial quoting and budgeting for large projects/RFP process/pitches, and fee forecasting for any multiple teams or multi-date projects.
  • Manage and be aware of outstanding PO or payment from clients.
  • Act as sign off any SOW questions and detail/filter through to Financial Controller as appropriate.
  • Support the Head of Projects to ensure that project specific processes are right.
  • Manage, stay close to and be up to speed with any top level project delivery to ensure that potential problems are identified and team efficiency and delivery is successfully undertaken.
  • Escalate any client issues, complaints, feedback and quality control to the Head of Projects where appropriate with full updates and brief.
  • Lead on closing of projects within relevant time frame.
  • Lead and prepare for weekly project team meetings.
  • Be a key role in the initial stages and at key points throughout for larger projects.

Client and Account Management

  • To develop and sustain trusting and mutually respectful client relationships.
  • Contributing to and leading strategic debates with clients and maintaining the operational excellence in the day-to-day running/overseeing of all projects under this remit.
  • Researching and understanding brand challenges/needs in preparation for project and client meetings.
  • Be responsible for day to day management of key client accounts 
  • Support on key RFP process requirements with relevant team support and knowledge
  • Work with the Client Services team to identify client growth and opportunities 

Line Management & Resourcing

  • Maintain a resource overview, to ensure all team time off requests and project resourcing are managed with no clash.
  • Support our performance review process, updates and follow up of individuals.
  • Support the Head of Projects to work with our project finance team to ensure that gaps and forecasting in team recruitment and freelance spend are being managed as planned.
  • Providing support for all members of teams, concerns, mentoring and buddy process - including individual one to ones to discuss work loads and give general support. 
  • Working closely in the Projects team to support recruitment.
  • Support our freelance database and undergo chemistry and provisional meetings with various freelancers and support Head of Departments where appropriate to the wider business

FInancial 

  • Overall budget owner.
  • Supporting and providing data to the reporting.
  • Highlight issues early on and be ahead of comms with clients .
  • Ensuring cash neutrality within the business.
  • Advocate and leader on good financial process. 
  • Work with our finance system (Paprika.
  • Fee profitability and time reporting.
  • Billing.
  • Purchasing overview.
  • Timely full reconciliation and partial recs throughout the event life cycle. 
  • You’ll have extensive experience of the project management of events - ideally in the B2B market, and most specifically in large scale conference and exhibitions space - as a lead producer.
  • A thorough understanding of the creative and production process.
  • Extensive budgeting and commercial experience in Project Management.
  • Ability to manage multiple projects simultaneously.
  • Ability to grasp complex concepts quickly and pay attention to minute detail.
  • Excellent negotiating and organisation skills.
  • Experience working with leading brands.
  • Experience of managing teams.
  • Strong experience of GDPR and application of this in the Project environment.
  • Pitch experience (desirable).
